Membership Assistant - 24 hours/week

Position Summary:   This part-time position requires a self-motivated individual with strong computer skills, an exceptionally high level of accuracy, and meticulous attention to detail, to maintain and update constituent records using Raiser’s Edge NXT database software.  The Membership Assistant works closely with the Membership Specialist and the Development Manager to help ensure that information entered into the database is accurate and consistent.  Primary duties include data entry, processing gift acknowledgements, and assisting with the day-to-day functions of the Membership office.  This position is non-exempt.

Essential Duties and Responsibilities:

Gift Processing and Data Management:

  • Processes and enters gifts accurately and on a timely basis, including individual gifts, gift batches, pledges, and gifts through third party platforms.
  • Processes gift acknowledgements, including assembling new member packets, customizing letters and gift cards, running queries and exports in Raiser's Edge NXT, running single and conditional letter merges in Microsoft Word, and delivering letters and packets to the mailroom.
  • Updates donor addresses, emails, phone numbers, and biographical information in Raiser's Edge NXT.
  • Runs periodic maintenance queries to ensure accuracy and consistency. 
  • Participates in continued online training for Raiser’s Edge NXT software.

Administration:

  • Assists in the monthly reconciliation of funds between the Membership and Finance Departments.
  • Keeps track of inventory and storage of membership materials.
  • Files gift documentation and maintains the storage of gift records.
  • Assists in documenting and updating data entry policies and procedures.

Member Services:

  • Assists with timely and courteous customer service to constituents, via telephone, letter, and email.
  • Assists with in-house mailings.
  • Attends department and staff meetings.
  • Performs additional tasks/responsibilities as needed. 
  • Attends cross training and provides backup for other administrative functions as needed.

Consistently accurate, timely data entry and attention to detail lays the foundation of how the organization can communicate with our constituents.  Responsible, tactful, and confidential treatment of a large volume of donor information is essential to the work of the membership and development team.  Accuracy and attention to detail of data entry is critical to the Department.

Qualifications and Skills required:

  • High school diploma or equivalency credential.
  • Proficiency with Microsoft Word, Excel, and Outlook, word processing, and donor database applications; Raiser's Edge/Raiser’s Edge NXT software experience preferred.
  • Quick learner with strong organizational and prioritization skills, and ability to multi-task.
  • Experience accurately managing high volume data entry.
  • Professional, positive, and courteous attitude in interactions with colleagues, donors, volunteers, and the public.
  • Exceptional customer service skills.
  • Good basic reading, writing, math, and analytical skills.
  • The highest standard of confidentiality with donor information.
  • Ability to work independently as well as part of a team.
  • Demonstrated enthusiasm for the Forest Society’s mission.

Working Conditions: Must be available to work occasional evenings, nights, and/or weekends; extra hours when needed.  Environmentally sustainable office building within walking distance of wooded trails; large, attractive Membership office space shared with 1-2 staff members. This position requires being in the office, with occasional opportunities to work at home.

Physical Requirements: Ability to sit and work at a computer for extended periods and concentrate in a busy office that is shared with 1-2 colleagues.
